LodgeRoot is an independently operated early-stage product for accommodation businesses. This notice explains how the LodgeRoot website, free-review process and related business outreach handle information. The initial enquiry form does not request hotel files.

Information submitted through a form

We may collect your work email, property or business name, selected review and a short description of your concern. We use these details only to assess the request, respond and maintain reasonable research-stage records.

Website and attribution data

We record limited first-party events such as pages viewed, calls to action, form starts and form outcomes. We may also record the landing page, referring site and campaign parameters included in the URL. We assign this browser a random first-party identifier so that unique visits can be counted without using your name or email. The identifier is stored in this browser and expires after 30 days without a visit. We may record a coarse country code and classify the device, browser family and likely automated traffic without storing an IP address or the full browser user-agent string. We do not use advertising cookies, cross-site tracking profiles or sell this information. These records help us understand whether the site works and which outreach is useful.

Anonymous research responses

A separate research form may collect selected answers about OTA commission or supplier invoice checks, along with limited campaign attribution data. An email address is optional. We use these answers in aggregate to guide product research and, only when an email is provided, to offer one relevant follow-up or free sample review. Anonymous responses are stored separately from pilot enquiries.

Business outreach

We may contact a limited number of accommodation businesses using publicly available business contact details. We record the source of the address, the messages sent and any response. Every recipient may ask us to stop. We keep a minimal suppression record so that an opt-out is respected in future outreach.

Files used for a review

If your property is invited to continue, we provide separate instructions for a limited redacted sample. Do not send guest names, contact details, payment information, passwords, unrestricted account access or unredacted OTA, PMS or accounting exports.

Retention and deletion

Enquiries and related CRM activity are normally removed or anonymised 12 months after the last meaningful contact unless an active pilot, customer relationship, dispute or legal obligation requires a longer period. Basic analytics events are normally kept for up to 13 months. Received sample files are removed within 14 days after the review is delivered, or within 14 days of receipt if the review does not proceed. Suppression records may be retained for as long as needed to honour an opt-out.

Storage and service providers

We use access-controlled website hosting and storage services, a private Feishu/Lark CRM workspace and an email provider to operate the service. Information may be processed in a country different from your own. We limit access to people and providers that need it for hosting, security, communications, CRM or the requested review.

Why we process information

Depending on the context and applicable law, processing is necessary to respond to a request or take steps toward a service, or is based on our legitimate interests in running, securing and improving the service and conducting proportionate business-to-business outreach. Where consent is required, we will request it.

Some information may be retained where required for security, legal or record-keeping reasons. LodgeRoot is currently an early-stage independent project; contracting-entity details will be provided before any paid engagement.
